Art Show

VCON features an annual art show, showing off the work of local artists. Works on display include paintings, sculpture, cartoons, and other objets d’art with some relationship to science fiction, fantasy, gaming, horror, and related themes. The art show also always includes work from our Artist Guest of Honour.


General Information for Artists

What Is Art?

This is a non-juried art show and all types of art, within the parameters set out below, are welcome. Items may include sketches, paintings, castings, etchings, multi-media pieces, fabric art and sculptures of all types including cast metals. What are those parameters? Is the piece based on hard science fiction, or future fantastic? Is it imaginative; thought provoking, creative, a new view of an old idea; is it a creature of your own? Then as long as it does not break any of the taboos laid out below, it is art.

What We Will Not Allow

There is a real difference between "brass bra" and porno. The decision of the Art Show staff will be final. No piece considered libelous will be allowed. Plagiaristic work will not be allowed. If the artwork features a character not that of the artist, the originator of the character must be credited. For example, a Disney character must be labeled "copyright Disney". No work of a defamatory nature is acceptable

How to Register to Exhibit at the Art Show

To reserve your space you must send a copy of the Art show registration/reservation form (PDF) (DOC) to the Art Show Director, Rose Wilson, along with your fees. There are two ways to do this:

  1. Use the PayPal form below to purchase the panels/tables you wish to reserve. Download the DOC version of the registration/reservation file, fill in and email it directly to artshow AT vcon DOT ca.
  2. Download the PDF version of the registration/reservation form, print it out, complete it and mail it in with a cheque, money order or Visa details for the total fees for the panels/tables you wish to reserve.

Space cannot be reserved through any other manner and all reservation fee payment must be made in advance. You will receive acknowledgment of your reservation along with control forms for your work, bid sheets and any other pertinent information. Ensure that you indicate in your application whether you or your agent will be bringing the artwork, which will be picking it up and which gets the money from sales payment is made. If you have special needs for your work, i.e. electrical outlet, you must notify us when reserving. We will do our best to provide.

Reserved space not claimed by noon Friday Oct 1 will be allocated to any other artist, either on a waitlist or currently registered, unless other arrangements have been made in advance with the Art Show Director. There will be no refund for such unclaimed reserved space.

Art Show Forms You Need

First and foremost, get your registration form and payment in as soon as possible. This will ensure that your space request is immediately put on the list. VCON 34 was just about sold out and we anticipate the same for VCON 35.

Artists will need to bring the following COMPLETED forms the hang time on the first day of the conference:

Hanging Inventory (also required for table space) - PDF, XLS
This is a listing of each piece you are bringing to the show, and it is cross-referenced to your Bid Sheets. All Artists require this form.
Bid Sheet - DOC
This is the information attached to or placed next to your work and shows buyers either your Direct Sales Price, or the Minimum (or Starting) Bid. All Artists require this form.
Print Shop Inventory - PDF, XLS
This really is just the same as the Hanging Inventory, except it’s for the Print Shop, and is cross-referenced to your Print Shop Tags. Artists placing works in the Print Shop require this form.
Print Shop Tag - DOC
This is the price information attached to each print. Artists placing works in the Print Shop require this form.

(Please complete these forms for your work prior to arriving to hang/place your art. It will save you much time. Hang time is always very busy with panels being assembled and properly placed and artists arriving and sorting works. The more that is done beforehand, the better.)

If you experience any problem downloading the forms, please contact the Art Show Director immediately. These forms are the only ones accepted, no substitutions will be allowed.

Display Space and Entry Fees

VCON art show panels are 4’ X 4’ pegboard. Covered tables are 6’ X 3’. We provide hanging pegs of different sizes, and artists are responsible for delivery of the art in ready to hang condition. The art show does not provide hard board, or any other backing materials. PROTECT YOUR WORK, and remember that better presentation of your work will bring more sales.

There is no cost to bring prints for sale in the Print shop. The 10% commission on sales applies. All prints must be protected on some type of hardboard – artists choice, or they may be matted, as you wish. In any case, prints MUST be shrink wrapped or in some kind of protective covering. The Art Show is not responsible for damage to unprotected prints, and may refuse to place them in the print shop if they are deemed too fragile for constant handling. Only 5 repeats of the same piece are allowed in the print shop. We do allow cards and post cards, however the same limit of 5 applies.

PLEASE NOTE: We will NOT accept art show space reservations postmarked after September 25th, 2010. After that date, please contact the Art Show Director, Rose Wilson, using the "VCON Art Show Information" option on our contact form.

Hanging Time

All art must be hung by noon on Friday October 1, 2010, unless prior arrangements have been made with the Art Show Director. We will endeavour to advise artists if we have earlier access to the art show space. An art show volunteer will be available to assist artists to hang works if required. All inventory sheets must be signed by both the artist and an art show representative upon set up.

Advise the Art Show Director, Rose Wilson, through the "VCON Art Show Information" option on our contact form when work is shipped, providing the shipping company, and the receiving date. A cheque or money order covering the full cost of returning unsold art, and your shipping instructions, must accompany your exhibitor registration.

The Auction

There will be a live auction on SUNDAY, OCTOBER 3 at 2:00pm. Works with at least 2 bids will go to auction. Works with 1 bid are considered sold to the bidder. Pieces may be sold by direct sale, if conditions of the artist are met. These items will not be removed from the sale prior to close of the Art Show without the express approval and attendance of the Art Show Chair. The Art Show staff reserves the right to void any bid they deem not legitimate. A piece, once entered in the auction, may not be removed.

Payment to Artists

Artists will be paid, wherever possible in cash on sale day. Artists not in attendance will be mailed cheques in full payment along with a detailed statement of pieces sold and deductions made within 10 days of sale date.

Art Show and Auction Rules for Bidders

  1. YOUR BID IS A LEGALLY BINDING CONTRACT WITH THE VCON 35 ART SHOW ON BEHALF OF THE ARTISTS IT REPRESENTS.
  2. A BID MAY NOT BE ERASED, REMOVED, OR DECREASED.
  3. ANY ITEM WITH TWO BIDS WILL GO TO AUCTION.
  4. DIRECT SALES ARE ONLY ALLOWED ON AN ITEM ON WHICH THERE ARE NO BIDS.
  5. DIRECT PURCHASE ITEMS MUST REMAIN ON DISPLAY IN THE ART SHOW UNTIL SUNDAY AFTERNOON, UNLESS SPECIAL ARRANGEMENTS ARE MADE WITH THE ART SHOW DIRECTOR.
  6. DIRECT SALES MUST BE ARRANGED THROUGH THE ART SHOW DIRECTOR OR DESIGNATE AND MUST BE PAID IN FULL IMMEDIATELY.

NO PHOTOGRAPHY OF ANY KIND OR FOR ANY REASON IS ALLOWED WITHIN THE CONFINES OF THE ART SHOW!
